Speech Language Pathology Social, P.C., doing business as SLP Social ("SLP Social," "we," "us," or "our"), respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices you have.

This policy applies to information collected through our website (www.slpsocial.com), through our services, through phone and text communications, and through our third-party service providers acting on our behalf.

1. Information We Collect

When you contact us or engage our services, we may collect:

  • Contact information: name, email address, phone number, and (if you choose to share) the age or relationship of the individual you are inquiring about

  • Regional Center information: for clients funded through the San Diego Regional Center (SDRC) or the Self Determination Program (SDP), we collect UCI numbers, Service Coordinator contact information, and referral and authorization details

Information collected automatically

When you visit our website, we automatically collect certain information through cookies and analytics tools:

  • Standard functional cookies used by our website platform (Webflow) to enable basic site functionality
  • Google Analytics data, including pages visited, time on site, referring URL, general geographic location, browser and device type

We do not use tracking cookies for advertising purposes and do not sell your information to advertisers.

2. How We Use Your Information

We use the information we collect to:

  • Provide, coordinate, and improve our clinical services
  • Communicate with you about inquiries, appointments, and services
  • Send appointment reminders, scheduling confirmations, and service-related follow-ups via email, phone, and SMS
  • Coordinate services and funding with the San Diego Regional Center or the Self Determination Program when applicable
  • Process billing and payments
  • Maintain clinical records as required by law and professional standards
  • Comply with legal, regulatory, and professional obligations, including those under HIPAA

3. Protected Health Information and HIPAA

SLP Social is a healthcare provider and is subject to the Health Insurance Portability and Accountability Act (HIPAA) and its implementing regulations. Protected Health Information ("PHI") — information that identifies you and relates to your health, healthcare, or payment for healthcare — is handled in accordance with our Notice of Privacy Practices, which is provided to all clients at the start of services.

This Privacy Policy governs information collected through our website and general communications; the Notice of Privacy Practices governs PHI held in your clinical record. If any provision of this Privacy Policy conflicts with our Notice of Privacy Practices as it applies to PHI, the Notice of Privacy Practices controls.

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We share information only as follows:

  • With service providers who help us operate our practice, including Google Workspace (email, documents, storage), QuickBooks (billing), PandaDoc (contracts), Ruby Receptionists (call and message handling), and Calendly (scheduling). These providers have signed Business Associate Agreements with us where PHI may be involved.
  • With the San Diego Regional Center or Self Determination Program, for clients whose services are coordinated or funded through those programs
  • With our clinical team members who are directly involved in providing your services
  • When required by law, court order, subpoena, or to protect the health or safety of individuals
  • With your explicit written consent, in any other circumstance

‍

5. Text Messaging (SMS)

If you provide us with your mobile phone number and consent to receive text messages, we may send you appointment reminders, scheduling confirmations, and service-related follow-ups. We do not use SMS for marketing purposes.

Opt-in

You may opt in to text messages by providing your consent during intake, through our Calendly scheduling system, or verbally in the course of your services.

Opt-out

You may opt out of receiving text messages at any time by replying "STOP" to any text message from us, or by contacting us directly at hello@slpsocial.com. Message and data rates may apply. Message frequency varies based on your engagement with our services.

Third parties

We do not share mobile phone numbers with third parties for marketing purposes. SMS messages are delivered through our receptionist service (Ruby) acting on our behalf under a Business Associate Agreement.

6. Data Security

We take reasonable and appropriate administrative, technical, and physical safeguards to protect your information. This includes limiting access to authorized personnel, using secure platforms with signed Business Associate Agreements for storage and communication of PHI, and following HIPAA-compliant practices. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain client records for the periods required by California law and professional licensing standards for speech-language pathology. Contact form inquiries and website analytics are retained only as long as reasonably necessary for the purposes described in this policy.

8. Your California Privacy Rights

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA):

  • The right to know what personal information we have collected about you
  • The right to request deletion of your personal information, subject to certain exceptions (including retention requirements for medical records)
  • The right to correct inaccurate personal information
  • The right to opt out of the sale or sharing of personal information — however, SLP Social does not sell or share personal information for cross-context behavioral advertising
  • The right not to be discriminated against for exercising these rights

To exercise any of these rights, contact us at hello@slpsocial.com. We will respond within the timeframes required by California law. Please note that requests involving PHI are governed by HIPAA and our Notice of Privacy Practices, which provide additional and specific rights over your health information.

9. Children's Privacy

SLP Social provides services to teens ages 13 and older and to young adults. We do not knowingly collect personal information from children under 13 through our website. For clients under age 18, we collect information only with the consent of a parent or legal guardian, and only as necessary to provide services.

10. Third-Party Links

Our website and communications may contain links to third-party websites (such as Calendly, our scheduling provider, or the UCLA PEERS resource pages). We are not responsible for the privacy practices or content of those third-party sites. We encourage you to review the privacy policies of any site you visit.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective Date" at the top of this page. If we make material changes, we will provide additional notice, such as posting a prominent notice on our website or sending you an email. We encourage you to review this policy periodically.
